A Tip Presented on Cloud Eight InfoAve Forums - Written by Milt

I doubt that anyone would put their email address book out in a public place for everyone to see. However, when emails are sent with all recipients showing.... that is EXACTLY what is being done.

We all frequently get forwarded emails and at the top of the message there is a list of everyone the email was sent to. Plus we often see addresses from previous senders. So many people have not been educated on the importance of removing ALL old addresses before forwarding an email and adding multiple recipients in the BCC line rather than the TO line. Having the addresses of other recipients showing on forwarded emails is not only bad e-mail manners, it is a violation of the privacy of each recipient and can easily contribute to the spread of viruses, spam, etc.

1) How to Forward correctly.
When you forward an e-mail, DELETE all of the other addresses that appear in the body of the message (at the top). Highlight them and delete them, backspace them, cut them, whatever it is you know how to do. You MUST click the "Forward" button first and then you will have full editing capabilities against the body and headers of the message. If you don't click on "Forward" first, you won't be able to edit the message at all.

2) How to show Undisclosed Recipient.
In the "Forward" window - whenever you send all those things that get passed around - do NOT use the TO: or CC: lines.
Always use the BCC (blind carbon copy) line for listing the e-mail addresses. This is the way that people you send to will get the e-mail as "Undisclosed Recipient" in the TO line.
If you don't see your BCC address line  - Click on VIEW in the compose window and tick "All headers" .

3) How to check who you sent it to in the BCC line
Go to your "Sent" folder, right click on the e-mail and chose "Properties".  click on the "Details" tab and you will see all the addresses you BCC'd.
